Ā A multinational organization with a complex software estate faced significant data integrity and compliance challengesĀ in managingĀ its Adobe licensing environment,Ā limiting insight into true license consumption,Ā delayingĀ timelyĀ reporting,Ā and inflating compliance risk ahead of aĀ contract renewal.Ā

Challenge

This global biotechnology organization with 15,000 employees relied heavily on undocumented knowledge within its IT Asset Management (ITAM) function, held by a single ITAM leader. When that individual departed, the program lost process documentation, clear ownership, and a defined operating model. A newly assigned team with limited ITAM experience assumed responsibility, creating immediate gaps in execution and program continuity.

The implementation of the Adobe SaaS Connector automated synchronization with the Adobe Admin Console,Ā eliminatingĀ manual reconciliations,Ā andĀ createdĀ a reliableĀ source of truth.

Material discrepancies between its FNMS and the Adobe Admin Console datasets prevented the organization from accurately tracking software deployments and entitlement usage. Reporting was delayed and lacked reliability, forcingĀ ITĀ Asset Management (ITAM)Ā and procurement teams to conduct time-intensive manual reconciliations to resolve conflicting information. These efforts were further hindered by inconsistent stakeholder engagement, creating data gaps and delaying remediation activities. While the organizationĀ maintainedĀ a dedicated internal team, it lacked the specializedĀ expertiseĀ requiredĀ to resolve connector configuration issues and address complex data mapping discrepancies.Ā

WithĀ concerns aboutĀ FNMS dataĀ integrityĀ heighteningĀ and an Adobe contract renewalĀ approaching, the organization required immediate expert support toĀ identifyĀ and remediate data integrity issues,Ā validateĀ license consumption, andĀ establishĀ a sustainable, automated reporting framework. The client engaged Anglepoint based on its deepĀ expertiseĀ inĀ Software Asset Management (SAM), particularly in Adobe licensing optimization and Flexera platform enhancement.Ā Anglepoint’sĀ experience in automating data collection and developing defensible Effective License Positions (ELPs)Ā gave the organization confidenceĀ thatĀ it could achieveĀ a sustainable compliance posture.Ā Ā

AnglepointĀ immediatelyĀ conducted aĀ comprehensive root-cause analysis and Adobe ELP assessment ,Ā whichĀ identifiedĀ $556K in Enterprise Term License Agreement (ETLA) over-deployment, $11K in perpetual license over-deployment, and $1.3M in unauthorized installations. The broader financial exposureĀ totalledĀ approximately $8.2M,Ā representingĀ significantĀ vendor risk. Compounding the urgency, the upcoming contract renewal required full remediation within a strict six-month timeline to support system migration and validation.Ā

Solution

Following itsĀ initialĀ assessment,Ā and as part of the long-term goal.Ā Ā Anglepoint recommended transitioning the client from FNMS toĀ Flexera One, a SaaS-based platform capable of delivering enhanced automation, improved data accuracy, and greater scalability across the organization’s entire software estate.Ā Ā

Anglepoint collaborated closely withĀ the client’sĀ ITAM, procurement, governance stakeholders, and Adobe license administrators to design and execute a structured six-month migration plan aligned with contract renewal deadlines.Ā Ā The teamĀ establishedĀ clear ownership, validation checkpoints, and cross-functional accountability toĀ maintainĀ alignment and protect data integrity throughout the process.Ā

Anglepoint’s expertise, in conjunction with close collaboration with the client, establishedĀ sustainable processes for the long term.

A criticalĀ componentĀ of the solution was the implementation of the Adobe SaaS Connector within Flexera One.Ā Anglepoint developed andĀ validatedĀ its configurationĀ to automate data ingestion directly from Adobe’s Admin Console,Ā eliminatingĀ manual reconciliation processes andĀ establishingĀ a reliable source of truth for license consumption and compliance reporting.Ā

ToĀ supportĀ long-term sustainability, Anglepoint recommended monthly governance reviews toĀ monitorĀ user activity andĀ optimizeĀ license allocations based on employment status and business needs.Ā The team implemented automated data validation controls within Flexera OneĀ and ongoingĀ stakeholder engagement protocols to reinforce accountability and data ownership. Anglepoint continues to deliver annual Adobe ELP assessments as part of an ongoing managed services model toĀ maintainĀ compliance and optimization.Ā

The team completed the migrationĀ within the six-monthĀ timeframeĀ and activatedĀ the Adobe SaaS Connector in April 2024.Ā

Results

  • Automation and Accuracy:Ā Achieved 99.99% data accuracy across 17,522 usersĀ by automatingĀ synchronization between Flexera One and theĀ Adobe SaaS Connector.Ā
  • SignificantĀ Risk MitigationĀ and Cost Avoidance:Ā Mitigated $8.2M in compliance exposure andĀ avoidedĀ $6.3M in costsĀ ahead of contract renewal.Ā
  • Full Alignment with Adobe Licensing Framework:Ā Reduced Adobe over-deployment by 43.6% year-over-year, aligning license assignments with actual business demand. Ā
  • Improved License Optimization:Ā EstablishedĀ a sustainable, automated compliance and governance framework with full visibility into license consumption and user activity.Ā
