A multinational organization with a complex software estate faced significant data integrity and compliance challenges in managing its Adobe licensing environment, limiting insight into true license consumption, delaying timely reporting, and inflating compliance risk ahead of a contract renewal.

Challenge

This global biotechnology organization with 15,000 employees relied heavily on undocumented knowledge within its IT Asset Management (ITAM) function, held by a single ITAM leader. When that individual departed, the program lost process documentation, clear ownership, and a defined operating model. A newly assigned team with limited ITAM experience assumed responsibility, creating immediate gaps in execution and program continuity.

The implementation of the Adobe SaaS Connector automated synchronization with the Adobe Admin Console, eliminating manual reconciliations, and created a reliable source of truth.

Material discrepancies between its FNMS and the Adobe Admin Console datasets prevented the organization from accurately tracking software deployments and entitlement usage. Reporting was delayed and lacked reliability, forcing IT Asset Management (ITAM) and procurement teams to conduct time-intensive manual reconciliations to resolve conflicting information. These efforts were further hindered by inconsistent stakeholder engagement, creating data gaps and delaying remediation activities. While the organization maintained a dedicated internal team, it lacked the specialized expertise required to resolve connector configuration issues and address complex data mapping discrepancies.

With concerns about FNMS data integrity heightening and an Adobe contract renewal approaching, the organization required immediate expert support to identify and remediate data integrity issues, validate license consumption, and establish a sustainable, automated reporting framework. The client engaged Anglepoint based on its deep expertise in Software Asset Management (SAM), particularly in Adobe licensing optimization and Flexera platform enhancement. Anglepoint’s experience in automating data collection and developing defensible Effective License Positions (ELPs) gave the organization confidence that it could achieve a sustainable compliance posture

Anglepoint immediately conducted a comprehensive root-cause analysis and Adobe ELP assessmentwhich identified $556K in Enterprise Term License Agreement (ETLA) over-deployment, $11K in perpetual license over-deployment, and $1.3M in unauthorized installations. The broader financial exposure totalled approximately $8.2M, representing significant vendor risk. Compounding the urgency, the upcoming contract renewal required full remediation within a strict six-month timeline to support system migration and validation.

Solution

Following its initial assessment, and as part of the long-term goal.  Anglepoint recommended transitioning the client from FNMS to Flexera One, a SaaS-based platform capable of delivering enhanced automation, improved data accuracy, and greater scalability across the organization’s entire software estate.

Anglepoint collaborated closely with the client’s ITAM, procurement, governance stakeholders, and Adobe license administrators to design and execute a structured six-month migration plan aligned with contract renewal deadlines.  The team established clear ownership, validation checkpoints, and cross-functional accountability to maintain alignment and protect data integrity throughout the process.

Anglepoint’s expertise, in conjunction with close collaboration with the client, established sustainable processes for the long term.

A critical component of the solution was the implementation of the Adobe SaaS Connector within Flexera One. Anglepoint developed and validated its configuration to automate data ingestion directly from Adobe’s Admin Console, eliminating manual reconciliation processes and establishing a reliable source of truth for license consumption and compliance reporting.

To support long-term sustainability, Anglepoint recommended monthly governance reviews to monitor user activity and optimize license allocations based on employment status and business needs. The team implemented automated data validation controls within Flexera One and ongoing stakeholder engagement protocols to reinforce accountability and data ownership. Anglepoint continues to deliver annual Adobe ELP assessments as part of an ongoing managed services model to maintain compliance and optimization.

The team completed the migration within the six-month timeframe and activated the Adobe SaaS Connector in April 2024.

Results

  • Automation and Accuracy: Achieved 99.99% data accuracy across 17,522 users by automating synchronization between Flexera One and the Adobe SaaS Connector.
  • Significant Risk Mitigation and Cost Avoidance: Mitigated $8.2M in compliance exposure and avoided $6.3M in costs ahead of contract renewal.
  • Full Alignment with Adobe Licensing Framework: Reduced Adobe over-deployment by 43.6% year-over-year, aligning license assignments with actual business demand.
  • Improved License Optimization: Established a sustainable, automated compliance and governance framework with full visibility into license consumption and user activity.
